Using Portal Templates

Portal templates let you save a standard portal configuration and apply it to new portals in one click. This is especially useful if you onboard clients into similar project setups repeatedly.


What a Template Contains #

A portal template can store:

  • Initial Status — the status (Active, Pending, or Archived) automatically applied to the portal when the template is used
  • Accent Color — a default brand color for portals using this template
  • File Uploads — whether clients are allowed to upload files
  • Task Templates — one or more task templates whose task lists will be added to the portal
  • Tools Template — a tools template whose links will be added to the portal’s Tools & Links tab
  • Welcome Message — a message posted automatically to the portal’s Discussion tab from your account when the template is applied

Creating a Template #

  1. Go to Portals → Portal Templates in your WordPress admin.
  2. Click Add New Template.
  3. Give the template a name (e.g., “Web Design Onboarding” or “Monthly Retainer”).
  4. Fill in the fields you want the template to set.
  5. Save the template.

You can create as many templates as you need.


Applying a Template to a Portal #

  1. Open a portal in the WordPress admin.
  2. In the portal editor sidebar, find the Portal Template section.
  3. Select a template from the dropdown.
  4. Click Apply.

The template settings are applied immediately. The portal is updated with the template’s status, accent color, file upload setting, tasks, tools, and welcome message.


Important: Templates Add, They Don’t Replace #

Applying a template to a portal that already has content will add to it, not overwrite it:

  • Existing tasks are kept; new task lists from the template are added alongside them
  • Existing tools are kept; tools from the template are added to the list
  • A welcome message is posted as a new Discussion comment — existing messages are not removed

Because of this, it’s best to apply templates to freshly created portals before adding custom content.


Task Templates and Tools Templates #

Task templates and tools templates are separate building blocks that portal templates pull from.

  • Task Templates — Managed under Portals → Task Templates. Each task template contains a set of task lists and tasks.
  • Tools Templates — Managed under Portals → Tools Templates. Each tools template contains a set of links and resources.

You can mix and match these when building a portal template.
