Managing Portal Status

Every portal has a status that controls whether clients can access it. You can update the status at any time from the portal editor.


The Three Statuses #

Active #

The portal is live. Clients assigned to it can log in and access all enabled features.

Use Active when the portal is ready for the client to use.


Pending #

The portal exists in your admin but is not accessible to the client. Clients who try to visit the URL will not be able to enter.

Use Pending when:

  • You are still setting up the portal (adding tasks, tools, welcome content) before handing it over
  • The project hasn’t officially started yet
  • You’ve invited the client but want them to wait before accessing

You can invite a client while the portal is still Pending — their account will be created, but they won’t be able to access the portal until you switch it to Active.


Archived #

The portal is no longer active. It is hidden from the client’s portal list and inaccessible to them.

Use Archived when:

  • A project is complete and you want to close the portal without deleting it
  • You need to suspend access temporarily

Archived portals remain in your admin and can be reactivated at any time by changing the status back to Active.


How to Change a Portal’s Status #

  1. Go to Portals → All Portals in your WordPress admin.
  2. Open the portal you want to update.
  3. In the portal editor sidebar, find the Status field.
  4. Select the new status.
  5. Click Update to save.

The change takes effect immediately.


Status Visibility #

Status badges are displayed on the portal archive page (/client-portal/) so clients can see the status of each of their portals at a glance. If you prefer not to show these badges, the [cp_portal_list] shortcode and portal archive display can be customized.


Status in the Admin Portal List #

In Portals → All Portals, each portal’s status is shown in the list table. You can quickly identify which portals are active, pending, or archived without opening each one individually.
