The Task Manager gives you and your clients a shared view of project work. Tasks are organized into lists, can be assigned to team members, and track progress from open to complete.
Task Lists #
Tasks live inside task lists — named groups that help you organize work by phase, category, or any structure that fits your project. You can have as many lists as you need.
To create a task list:
- Open the portal and click the Tasks tab.
- Click Add List.
- Enter a name and press Enter.
Creating Tasks #
To add a task to a list:
- Click Add Task under the list name.
- Enter the task title.
- Press Enter or click the checkmark to save.
You can add more detail to any task by clicking on it:
- Description — additional context or instructions
- Assignees — one or more portal members responsible for the task
- Due date — an optional target date
- Status — the current stage of the task (see below)
Task Statuses #
If task statuses are enabled in your settings, each task can be set to one of four stages:
- To Do — Not yet started (default for new tasks)
- Up Next — Queued and ready to begin
- In Progress — Actively being worked on
- Complete — Finished
If statuses are disabled, tasks have a simple complete / open toggle instead.
To enable or disable task statuses: Settings → ClientPress → Features → Task Status Tracking.
Assigning Tasks #
Tasks can be assigned to one or more people. Assignees must be members of the portal (team members or clients).
To assign a task: open the task and type a name in the Assignees field. Select from the dropdown.
Assignee avatars appear on each task card as a visual indicator.
Due Dates #
Due dates are optional. Tasks with a due date appear on the Calendar tab. Overdue tasks (past their due date and not complete) are highlighted in red.
Progress Tracking #
Progress bars show how many tasks are complete in each list and across the portal overall. The bar updates automatically as tasks are completed.
Reordering Tasks and Lists #
Tasks can be dragged and dropped to reorder them within a list, or moved to a different list entirely. Lists can also be reordered by dragging.
Completed Tasks #
Completed tasks are collapsed into a Completed (X) section at the bottom of each list. Click the section to expand and view them.
Task Templates #
If you repeatedly create the same set of tasks for new clients, you can save a Task Template and apply it when creating portals. See the Portal Templates doc for details.
Enabling or Disabling the Task Manager #
The Task Manager can be turned off globally under Settings → ClientPress → Features. When disabled, the Tasks and Calendar tabs are hidden from all portals.
