How Portal Notifications Work

ClientPress sends email notifications to keep your team and clients informed when activity happens in a portal. Each event has defined recipients and a clear call-to-action button in the email.


What Triggers a Notification #

  • New discussion message (sent by team) — Notifies the portal’s client
  • New discussion message (sent by client) — Notifies admin and assigned project managers
  • New message board topic — Notifies all other portal members
  • New message board reply — Notifies all other portal members
  • Task assigned to a user — Notifies the assigned user only
  • File uploaded to portal — Notifies the portal’s client
  • File requires approval — Notifies the designated approver
  • File approved or rejected — Notifies the user who uploaded the file
  • Deliverable uploaded — Notifies the portal’s client
  • Deliverable approved by client — Notifies admin and assigned project managers
  • Revision requested by client — Notifies admin and assigned project managers

Notification Email Format #

Every notification email includes:

  • A heading summarizing what happened
  • An intro message with context
  • An optional preview of the relevant content (e.g., a snippet of a message)
  • A call-to-action button that takes the recipient directly to the relevant area of the portal
  • A footer with your site name

If Magic Login Links are enabled, the button link logs the recipient in automatically with one click.


How Recipients Are Determined #

For team-side notifications (admin and project managers) #

When a client takes an action, ClientPress notifies:

  1. Assigned project managers — any project managers assigned to the portal receive the notification
  2. The site admin — receives notifications based on the global Admin Notifications setting and any per-portal override

Important failsafe: If no project managers are assigned to a portal, the admin always receives notifications for that portal, regardless of the global setting. This ensures no notification is ever lost.

For client-side notifications #

The primary client receives notifications. Sub-clients receive notifications for board activity.


Notifications That Cannot Be Disabled #

Most notification types can be turned off by individual users. However, the following are always sent because they are critical to the workflow:

  • File approval requests — the designated approver is always notified
  • Deliverable approval and revision notifications — your team is always notified when a client approves or requests changes

Admin Notification Setting #

You can control whether the site admin receives portal notifications globally under Settings → ClientPress → Access & Login → Admin Notifications.

Individual portals can also override this at the portal level — useful if a project manager is fully responsible for a portal and the admin doesn’t need to be copied.
