Assigning Project Managers to a Portal

Project managers are team members who can access and participate in portals without having WordPress admin access. Assigning a project manager to a portal gives them full access to all of that portal’s features.


What Project Managers Can Do #

Within their assigned portals, project managers can:

  • Read and send messages in Discussion and the Message Board
  • Create, edit, and complete tasks
  • Upload files and deliverables
  • Review and approve files
  • Change deliverable statuses
  • View all portal content

Project managers cannot:

  • Access the WordPress admin dashboard
  • Create or delete portals
  • Manage users or plugin settings
  • Access portals they have not been assigned to

Creating a Project Manager Account #

If the team member doesn’t have a WordPress account yet:

  1. Go to Users → Add New in your WordPress admin.
  2. Fill in their name and email.
  3. Set the Role to Project Manager.
  4. Send them their login credentials or use the WordPress password reset flow.

Assigning a Project Manager to a Portal #

  1. Open the portal in your WordPress admin.
  2. In the portal editor sidebar, find the Project Managers field.
  3. Search for and select the team member’s account.
  4. Save the portal.

The project manager now has access to the portal and can log in at yoursite.com/client-portal/ to access it.


Assigning to Multiple Portals #

A project manager can be assigned to as many portals as needed. Repeat the steps above for each portal.

From the project manager’s perspective, all their assigned portals appear on the portal archive page when they log in.


Removing a Project Manager from a Portal #

  1. Open the portal editor.
  2. Find the Project Managers field.
  3. Remove the team member from the list.
  4. Save the portal.

The project manager loses access to that portal immediately. Their account and access to other portals are not affected.


Project Managers and Hubs #

Project managers assigned to a root portal automatically have access to all of its hubs. You do not need to assign them to each hub individually.


Project Managers on the People Tab #

Assigned project managers appear in the Team section of the portal’s People tab, visible to clients.
